Privacy Policy

1. Who we are

AxisTrade is made by Vaelos Labs, LLC, a limited liability company organised in Delaware, USA (vaeloslabs.com). AxisTrade is an offline-first sales, stock, and credit record-keeping app built for retail and wholesale traders in Ghana. Vaelos Labs, LLC is the data controller for personal data processed through the AxisTrade app and this website.

2. The law we follow

We process personal data under Ghana's Data Protection Act, 2012 (Act 843), and we are accountable to Ghana's Data Protection Commission. Wherever you use AxisTrade from, we aim to honour the same rights described in this policy for every user.

3. What we collect

• Identity and contact details of the shop owner and any staff the owner invites: name, phone number, and email address. Your email is verified once at sign-up so you can reset your passcode if you forget it.
• Customer and supplier contact details you enter — names and phone numbers. You are responsible for having the right to record another person's details in the app.
• Business and financial records you create: products, prices, sales, credit, restocks, stock counts, and the reports computed from them.
• Device and technical data: a device registration identifier, app version, and diagnostics.
• Product analytics events and crash reports that tell us how the app is used and when it breaks.
• Website submissions: if you use the contact form or join the waitlist on this site, we collect the name, email address, and message you send.

4. Why we use it

We use personal data for four things:

• To run the service you signed up for — accounts, sync, billing, and support (performance of a contract).
• To keep AxisTrade reliable and secure.
• To understand how the app is used so we can improve it (legitimate interest).
• To message you about your account and the service.

We do not sell personal data. Ever.

5. Who helps us run AxisTrade

We share the minimum data necessary with the following service providers (sub-processors), each bound by contract to protect it:

• Clerk — Sign-in and account management.
• Supabase — Database and backend — the system of record.
• PowerSync — Offline sync between your device and the backend.
• Anthropic — The AI digest and chat. Anthropic receives only summary figures computed on our servers — never your customers' names or contact details.
• RevenueCat — App-store subscription management.
• Paystack — Card and mobile-money subscription billing.
• Sentry — Crash reports, with personal data scrubbed before sending.
• PostHog — Product analytics.
• Expo — App updates and push notifications.
• Resend — Email delivery for this website's forms.
• Vercel — Hosting for this website.

6. Where your data is processed

Some of these providers store data in cloud regions outside Ghana. Where data is transferred outside Ghana, we rely on each provider's contractual safeguards to keep it protected to the standard described in this policy.

7. How long we keep it, and deletion

We keep your data while your account is active. You can delete your account inside the app at any time via Profile → Delete my account. On deletion, personal details — names, phone numbers, and email addresses — are anonymised across every record, and your financial records are retained in anonymised form for the period the law requires us to keep them. The retained figures never change and can no longer be linked to you.

8. How we protect it

Data is encrypted in transit and at rest. Every business's records are isolated from every other business's at the database layer. Audit logs redact personal data for anyone who is not the business owner, and personal data is scrubbed from crash reports before they leave the device.

9. Your rights

You have the right to:

• Access the personal data we hold about you.
• Correct inaccurate or incomplete data.
• Export your data in a portable format.
• Delete your personal data, as described in section 7.

You can exercise these rights in the app or by emailing [email protected]. You also have the right to complain to Ghana's Data Protection Commission if you believe we have mishandled your data.

10. Children

AxisTrade is a business tool and is not directed at children. We do not knowingly collect personal data from children.

11. Changes to this policy

When we change this policy, we will post the update here and change the "Last updated" date above. If a change materially affects how we handle your data, we will also flag it in the app.
